The websites www.redbookinspect.com.au and www.olasio.com (the RedBook Inspect Websites) are operated by RedBook Inspect Pty Ltd (ABN 67 125 096 077) (RedBook Inspect).
This policy sets out how RedBook Inspect collects, uses, discloses and manages your personal information. RedBook Inspect is a subsidiary of CAR Group Limited (formerly carsales.com Limited) (carsales). carsales and its related bodies corporate (carsales Group) have their own privacy policies which can be found on their respective websites.
If through using the RedBook Inspect Websites or our services you disclose personal information to a third party website, this policy will not apply as between you and the third party and you will be subject to the privacy policy of that third party.
By accessing or using the RedBook Inspect Websites or our services, you agree to the collection, use and disclosure of your personal information in the manner described in this Privacy Policy.
The services provided by RedBook Inspect may be subject to product or service specific terms which will be separately provided to you where applicable (Service-Specific Terms), including but not limited to: (i) terms of service for physical inspections of assets, including of vehicles and pools; (ii) terms of service of inspection of vehicles through RedBook Inspect’s remote video assessment platform; (iii) terms of service for non-ID verification services provided under the trading name ‘Olasio’, and (iv) terms of service for ID verification services under the trading name ‘Olasio’.
RedBook Inspect respects the importance of your privacy and is bound by the Privacy Act 1988 (Cth) (Privacy Act) including the Australian Privacy Principles (APPs) and applicable privacy regulations. RedBook Inspect is committed to protecting your privacy when managing your personal information and has policies and procedures to ensure that personal information is handled in accordance with the Privacy Act and the APPs.
Personal information collected by RedBook Inspect will depend upon the circumstances of collection and on the services that we are providing to you and may include:
identification details, such as name, birth date, gender, security questions and answers;
contact information such as address, email address and mobile phone number;
bank account and credit account details;
user IDs and passwords
your public social profile information (e.g. name, profile picture) together with the email address you used to log into your social media account;
business information, such as ABN and licence number;
information submitted by you in relation to your use of any of our services, such as identity documents submitted in relation to an Olasio ID or other ID verification service;
information submitted about you in relation to any of our services, such as contact information submitted in relation to an Olasio ID or other ID verification service;
information submitted in applying for or requesting a quote for a related product such as finance or insurance;
your IP address, information about the devices on which you visit RedBook Inspect websites and your activities on those devices or sites (including browser and operating system, time, date, referral information, location, carrier and site interactions);
third party account details (for example when you sign in through a social network or organisation account);
if you participate in any surveys we, or a third party service provider acting on our behalf, may conduct from time to time, personal information relating to your survey responses;
if you are applying for employment with us, personal information that is relevant to such employment;
records and content of communications with RedBook Inspect or any other person; and
information obtained as a result of your use of our mobile website or application such as geo-locations and unique device identifiers.
RedBook Inspect does not collect sensitive information as defined in the Privacy Act, such as racial or ethnicity information, political opinions or associations, criminal records (save where provided by law enforcement authorities) or health information. However, subject to obtaining your prior consent, RedBook Inspect may collect sensitive information from you in the course of its services or considering an application for employment. RedBook Inspect and its partners may also collect sensitive information from you in relation to verifying your identity via an Olasio ID or other ID verification service.
RedBook Inspect collects personal information in a number of ways, including:
directly from you when you provide information directly to RedBook Inspect via a RedBook Inspect Website, in person, by phone or otherwise, for example when you purchase services from RedBook Inspect or provide information in the course of RedBook Inspect providing a service to you;
from third parties, such as the carsales Group, service providers and operators of third party websites, co-branded websites and applications (Linked Sites) and advertising served to the RedBook Inspect Websites by third parties or resellers of RedBook Inspect's services including where it would be unreasonable or impracticable to collect information from you;
from third parties in the course of providing specific services to you, including entities as further described in Service-Specific terms;
when you subscribe to a newsletter or alert;
when you enter a competition or promotion conducted by RedBook Inspect;
from social networks where you consent to that network sharing information with us, or otherwise where you have directed the network to send us information on your behalf;
from third party data service providers and other entities where you have directed or otherwise consented to the collecting entity (or a service provider on its behalf) sending us the data;
through the use of carsales Group or RedBook Inspect proprietary software in which personal information is stored; and
from organisations identified or described under the heading "How is personal information disclosed" which include carsales Group companies, our service providers and other third parties so that we may provide an enhanced and more relevant user experience, service or product to you or your organisation.
You warrant that you have all necessary consents and authorisations from third parties to allow us to perform the services, including for all information to be provided to us via the Olasio Application and used by us in relation to our products or services. In particular, you warrant that you have obtained the third party’s consent allowing:
you to upload their personal contact information to the Olasio web portal to set-up a profile; and
us to send a communication (eg via email or SMS) to the third party inviting them to provide their information for the purpose of our services.
RedBook Inspect will use the personal information it collects for the purpose for which you provided it, the purposes disclosed in this Privacy Policy, any related secondary purposes which you would reasonably expect and any other purpose you have consented to. Without limitation, your personal information may be used for the following purposes:
to provide you with the product or service you have purchased or requested;
to verify your identity in relation to a product or service you have purchased or requested;
to maintain appropriate business records;
to research, develop, improve and use within RedBook Inspect and the carsales Group products and services and by our outsourced service providers to provide and improve their services;
to respond to an enquiry or provide our services, products or assistance that you request from us;
to pre-populate / customise / provide shortcuts on a RedBook Inspect Website or carsales Group website;
to conduct surveys to determine use and satisfaction with our services;
to generate statistics in relation to the RedBook Inspect Website;
for the purposes of feedback, reviews and ratings;
to promote and market special offers and other services to you (if you do not want to receive these, please let us know by clicking here or using the unsubscribe facility in a direct marketing communication sent to you);
for purposes connected with the operation of the carsales Network;
for staff training and quality assurance;
to aggregate personal information with our third party partners for the purpose of personalising the advertising you receive from us and them; and
to contact the winners of trade promotions run by the carsales Network.
RedBook Inspect may disclose personal information to entities other than RedBook Inspect in accordance with the terms of this privacy policy. The organisations to which we may disclose personal information include:
the carsales group and its staff, contractors, agents and advisers in connection with providing services to you;
individuals and organisations that advertise with RedBook Inspect if you submit an enquiry or seek or acquire certain services through RedBook Inspect’s websites - or a third party supplier working with those advertisers to provide those services. If you do not want this to occur, please do not submit an enquiry or acquire such services;
operators of Linked Sites;
outsourced service providers who assist RedBook Inspect to provide its services including:
information technology providers including carriers or networks;
marketing and market research advisers and survey providers;
professional advisers;
identity verification service providers
data service providers, who may also disclose your personal information to our third party partners for the purpose of personalising the advertising you receive from us and them; and
payment providers;
entities to whom you request we send your information, including third parties on whose behalf you have provided us your personal information;
resellers of RedBook Inspect or carsales Group services;
in relation to Olasio, the third party that sends you a request to complete an activity via Olasio (such as an asset check or identity verification);
organisations involved in a sale/transfer of a carsales Group company or any of its assets, business or shares;
to assist government or regulatory authorities or police;
to entities identified in Service-Specific terms; and
as we are required by law, for example pursuant to a subpoena or in accordance with unclaimed money legislation.
Where RedBook Inspect provides information to a third party at your request, you acknowledge that your information will be handled by that third party in accordance with its privacy policy (including in respect of their handling, storing and further disclosure of your personal information) and not in accordance with this Privacy Policy.
Where RedBook Inspect discloses your personal information to a data service provider, RedBook Inspect will take all reasonable steps to ensure those data service providers comply at all times with the Privacy Act and APPs.
RedBook Inspect strives to maintain accurate and up-to-date records. To facilitate this, please let us know if any of your details change. We may verify the accuracy of personal information we hold against information about you held by a third party. RedBook Inspect may destroy or de-identify personal information once the information is no longer deemed required by the business.
You generally have a right to access your personal information, subject to a few exceptions provided by law. If you wish to access your personal information please contact us by email at info@redbookinspect.com.au. Please remember to provide as much detail as you can as this will help us to find the information. Generally, there will be no charge for this service, however you may be required to verify your identity before any information is released to you. Depending on the volume, type or method of access to the information you request, RedBook Inspect may charge you some fees, however these will not be excessive and will not apply to the making of the request. Please note that, depending on the volume or nature of the information required, it may take a number of days to fulfil the request.
RedBook Inspect and the carsales Network take reasonable steps to protect personal information collected from misuse, loss, unauthorised access, modifications or disclosure. Your personal information may be stored in hard copy documents, but is generally stored electronically on RedBook Inspect’s systems. When making any purchase from RedBook Inspect via a RedBook Inspect Website, your financial details are passed through a secure server using 128-bit SSL (secure sockets layer) encryption technology.
Some of RedBook Inspect’s service providers are located outside of Australia, including in the United States of America, Canada and Singapore. It may be necessary to disclose your personal information to those service providers for some of the purposes listed above. By providing RedBook Inspect with your personal information, you consent to the disclosure / transfer of your personal information outside Australia as set out in this Privacy Policy.
You may deal with RedBook Inspect anonymously by using a pseudonym, unless RedBook Inspect is reasonably required or authorised by law to deal only with an identified person, or it is reasonably impracticable for us to respond to you if you have not identified yourself.
If you choose not to provide personal information when requested, RedBook Inspect may not reasonably be able to provide you with the full range of RedBook Inspect services.
When accessing a RedBook Inspect Website from a mobile device, we may request permission to collect your location from your device via the permission system used by your mobile operating system. If you consent to the collection of this information, you can later disable it by changing the location setting on your mobile device. However, this may limit your ability to use certain features of our services.
Where a RedBook Inspect Website provides for a Linked Site, the operators of those Linked Sites may collect personal information through the use of cookies and otherwise. To the extent permitted by law, RedBook Inspect is not responsible for Linked Sites and recommends you read the privacy policy of such sites before disclosing your personal information.
RedBook Inspect uses cookies for functional, authentication, analytical, advertising and marketing purposes on www.redbookinspect.com.au, and for functional, authentication and analytical purposes on the www.olasio.com website. If you submit a concern or complaint, we will endeavour to deal with it comprehensively and reach an outcome with which all parties are satisfied. This policy may change over time. All changes will be published on this website and will only apply to personal information that has been collected after the date you accept the new privacy policy. If the changes will impact personal information collected prior to the date the changes are made then we will provide 30 days’ written notice to you of the relevant changes, where reasonably possible.
